Who we are

The Eastham Home Guard (‘the Club’, ’we’, ‘us’) is a members club who provide services to our members and their guests, as well as other members of the public who have been invited to use our facilities as guests of the Club, and for the purposes of this policy are the data controller of any personally identifiable information provided to us.

Description of processing and our Lawful Basis for this

We may process personal and or special category data concerning you in our manual and computerised filing systems internally and, if reasonably necessary, externally, for us to comply with statutory requirements, meet our legitimate interests, properly conduct our business, comply with any other legal or similar requirements.

The legal bases we process information are provision of services, legal obligation, contractual obligation, legitimate interest, and where possible, consent.

Information we process

The personal information that we may collect and process includes:

• Name
• Home Address
• Signature
• Date of Birth
• Gender
• Member Number
• Mobile and/or Home Phone Number
• Email Address
• Physical Description

The special category information that we may collect and process includes:

• Health Related Data
• Financial/Payment Card Information

Who we share information with

We will share only the necessary data about you with third parties assisting us in providing our services to you, such as handling card payments or communicating with you. In some circumstances, where you input data, we will not share without your permission. 

Retention

Your data will not be stored for any longer than is necessary for the purpose it has been collected. For details on retention please refer to the Club’s full privacy policy.

Transfers

Personal information will not be transferred or stored in any country that does not have adequate security protection for the purposes of the GDPR.

Your data protection rights

Under the DPA 2018, you have rights including:

• Your right of access - You have the right to ask us for copies of your personal information. 
• Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
• Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 
• Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
• Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.
• Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
• Your right to withdraw consent - You have the right to withdraw consent you have previously given us for the processing of your personal data, where consent is our legal basis for processing this data.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
